Bookkeeping Clerk:  We are currently accepting applications for a part-time (three days/4 hours per day) bookkeeping clerk at North Madison Congregational Church (NMCC) located in North Madison at the traffic circle of Route 79 and Route 80.  This position will be responsible for carrying out the general day-to-day financial operations of the church including maintaining accurate records of all receipts and payables.  Must have knowledge of generally accepted accounting principles and have knowledge with QuickBooks, payroll, and processing checks.   Must have understanding of business financial statements (P & L , Balance Sheet) and income tax worksheets.  Must maintain confidentiality and be able to multi-task with good organizational skills, communication skills, and ability to meet deadlines accurately.  The full job description is below.

Bookkeeper Job Description (April 2022)

Purpose: To carry out the general day-to-day financial operations of the church, including maintaining accurate records of all receipts and payables.

Accountability: The Church Bookkeeper is accountable to the Treasurer; to the Pastor as Head of Staff; and to the Board of Finance.

Scope of  job: Part-time (10-12 hour) position covering two to three days per week. One of the days must include Tuesday, when the office manager is not in the office. Special Note: This position is not covered by unemployment. 

Experience and training:  Knowledge of generally accepted accounting principles. Knowledge of QuickBooks, administering payroll, processing checks. Understanding of business and income tax worksheets. Must maintain confidentiality, be able to multi-task with good organizational skills, possess excellent communication skills, and be able to meet deadlines accurately.

Evaluation: Performance review will be conducted annually by the Pastor and Human Resource Team in consultation with the Treasurer and the Board of Finance.


  1. Maintains accurate financial records, including both receipts and disbursements; posts all receipts and disbursements to Power Church.
  2. Manages the electronic paycheck platform: Paychex SurePayroll.

III.  Communicates with the Executive Committee on a monthly basis regarding the status of budget receipts and expenditures both for the church and for individual boards and teams.

  1. Maintains records for Circle Nursery School, including rent, payroll, monthly reports.
  2. Adheres to church norms and supports the church’s purpose statement and Open and Affirming Covenant.

Task list for bookkeeper:

  1. Codes, posts and prepares deposits to Guilford Savings Bank
  2.  Reviews Sunday collection for errors and reconciles with the deposit and posting.
  3. Posts Sunday collection to PowerChurch and produces quarterly email statements
  4. Breaks down Vanco’s monthly data of electronic pledges and posts to PowerChurch.
  5. Administers the payroll, including quarterly balancing and state and federal reporting, as well as year-end W-2s.
  6. Administers receipts and disbursements related to Circle Nursery School.
  7. Matches invoices with purchase orders; pays bills in a timely fashion.
  8. Creates end of month report of all accounts payable.
  9. Sets up and tracks accounts for Ministry Teams.
  10. Pays monthly Pension Board bills.
  11. Completes quarterly CT PFMLA reports.
  12. Collates results of annual pledge campaign and enters data into PowerChurch.
